AESA Conference Book Exhibits


Generally, publishers are approved exhibitors, which means that all other exhibit requests must be approved by the AESA executive director.

2026 Conference Exhibit Details

BOOK EXHIBIT HALL SCHEDULE:

  • Wednesday, November 4th, 2026: set up day for exhibitors, 2:00PM-5:00PM
  • Thursday, November 5th, 2026: Exhibit opens 8:30AM-5:30PM
  • Friday, November 6th: Exhibits open 8:30AM-5:30PM
  • Saturday, November 7th, 2026: Exhibits open 9:00AM-12:00AM
  • Book distribution: Saturday, November 7th from:
    • 12:00PM-12:30PM for graduate students.
    • 12:30-2:00PM for all AESA member

FINAL DAY BOOK FUNDRAISER:

Publishers are asked to donate the books that are on display after the exhibit hall closes on Saturday, November 7th, 2026 at 12:00PM.

RECEIVING OR SHIPPING TBA (We are working on obtaining the correct address to send your shipment. We will announce as soon as we have it).

Special arrangements must be made for receiving any equipment, goods, displays or other materials that will be sent, delivered, or brought into the Hotel. (This excludes delivery of any food or beverage items that are also sold or furnished by the Hotel.) Failure to do this may result in deliveries being refused or materials being unavailable when required.

We strongly recommend that you enclose a conference discount form for your books so that you can monitor sales to AESA members. Also, please include a detailed packing list in each of your boxes.

Please observe the following instructions to ensure proper handling of your meeting materials. Each item should be clearly marked with the following:

The Hilton Portland Downtown will store your packages a maximum of 3 days prior to your arrival. Each item should be clearly marked with the following:

  1. Your organization’s name and/or name of the event.
  2. Hold for arrival November 4th, 2026
  3. On Site contact: Yolanda Medina, AESA Book Exhibit Coordinator
  4. Address: Hotel Portland Downtown (Shipping Address TBA)
  5. Number of Boxes – Example: Box 1 of 2 and Box 2 of 2

Packages will be accepted Up to Three Days Prior to the scheduled event. Anything more than three days prior will not be accepted and consequently returned to sender. The hotel is not responsible for perishable items.

RETURN SHIPPING INSTRUCTIONS:

For those exhibitors who plan to have a representative attend the conference and wish to have any books or display material returned to their office, will need to make arrangements with the shipping department at the Hyatt Regency Greenville Hotel for details.

Please note that AESA staff is not able to pack and return shipments to publishers.
