ATTENTION CONFERENCE EXHIBIT COORDINATORS AND ACQUISITIONS EDITORS:

All exhibitor table orders must be placed by September 15, 2019. Use the form below to reserve your space in the book exhibition.

Generally, publishers are considered to be approved exhibitors, which means that all other exhibit requests must be approved by the AESA director.

2019 Conference Exhibit Details

BOOK EXHIBIT HALL SCHEDULE:

  • Wednesday, October 30: set up day for exhibitors, 11:00-5:00
  • Thursday, October 31: exhibits open 8:30-5:30
  • Friday, November 1: exhibits open 8:30-5:30
  • Saturday, November 2: exhibits open 9:00-11:00

FINAL DAY BOOK SALE (AESA FUNDRAISER):

After the exhibit hall closes on Saturday, AESA conducts a book sale for attendees as a fundraiser. Publishers are asked to donate the books that were on display to help with the cause.

SHIPPING INSTRUCTIONS

We strongly recommend that you enclose a conference discount form for your books so that you can monitor sales to AESA members. Also, please include a detailed packing list in each of your boxes.

The Hyatt Regency Baltimore on the Inner Harbor will store your packages a maximum of 3 days prior to your arrival, so please be certain that your shipment arrives no earlier than Monday, October 28, 2019.

RECEIVING OR SHIPPING
Special arrangements must be made for receiving any equipment, goods, displays or other materials that will be sent, delivered or brought into the Hotel. (This excludes delivery of any food or beverage items that are also sold or furnished by the Hotel.) Failure to do this may result in deliveries being refused or materials being unavailable when required. The Hotel’s receiving entrance is open from 8am to 5pm, Monday-Friday.

Please observe the following instructions to ensure proper handling of your meeting materials. Each item should be clearly marked with the following:

  1. Hold for Arrival- Attn: Guest’s Name, Organization Name
  2. Complete Return Address
  3. Number of Boxes (Example: Box 1 of 2, and Box 2 of 2)
  4. Address Package to Hotel as Follows:

  5. Package ___ of ___

The Hyatt Regency Baltimore on the Inner Harbor has limited storage space available. Packages will be accepted up to three days prior to your scheduled event. Anything arriving more than three days prior will not be accepted and consequently returned to sender.

RETURN SHIPPING INSTRUCTIONS:

For those exhibitors who plan to have a representative attend the conference and wish to have any books or display material returned to their office, you will need to make arrangements with the shipping department at the Hyatt Regency Baltimore on the Inner Harbor. Please contact their shipping department for details.

Please note that AESA staff is not able to pack and return shipments to publishers.
